HOOPP continues to grow, both in size and complexity of its operations. It is now looking to add a Manager, Board Operations & Assistant Board Secretary, who will be a part of the Office of the CEO team. Reporting to the Senior Director, Office of the CEO & Board Secretary, the role will be responsible for the management of Board operational processes as well as providing Board secretarial support to the Senior Director & Board Secretary.
Responsibilities include management and execution of all pre and post meeting activities for Board of Trustees and its Committees, including overall administration and maintenance of the Board portal. You will play a key role in organizing and executing all Board and Committee meetings, including scheduling and coordination of materials with executives and staff across the organization, posting materials on the Board portal, reviewing and providing guidance to staff on Board materials quality and standard, drafting minutes of meetings for the Board Secretary’s review, and preparing post-meeting action lists and Board member compensation reports. In addition, you will manage and execute annual Board operational processes, maintain all Board & Committee policies and records, coordinate logistics for Board education programs and retreats, and provide project management and general support to the Board Secretary and the Office of the CEO, as required.
The ideal candidate will have a minimum of 7 years of experience in corporate secretarial administration, gained from a reputable organization. Any experience working within a pension or financial industry is an asset, though not required. A legal background and/or certification in corporate governance is preferred. A high level of professionalism, judgment and diplomacy, excellent communication and organizational skills, and the ability to work as part of a team are essential to this role.
